Position Summary
The Congregational Administrator plays a central role in supporting the life and operations of the church. This position manages day-to-day administrative functions with a high degree of independence while working closely with the Minister, staff, lay leaders, members, and community partners. The ideal candidate is highly organized, service-oriented, and comfortable balancing multiple priorities in a collaborative, mission-based environment.
Schedule & Work Location
- 32 hours per week, averaged over each pay period
- 24 hours per week in person, with up to 8 hours remote
- In-office days and daily schedules are negotiable
Key Responsibilities:
Administrative & Leadership Support
- Provide administrative support to the Minister, Director of Spiritual Development, Board of Directors, Program Council, and committee leaders
- Respond to member inquiries and route requests appropriately
- Support church-wide initiatives such as pledge drives, auctions, and special events
Systems, Records & Technology
- Maintain church records and files (electronic and hard copy)
- Administer Google Workspace accounts for church leadership
- Manage and recommend upgrades for administrative systems and software
- Maintain church management systems, including REALM
Facilities & Building Operations
- Coordinate building maintenance, inspections, repairs, and service providers
- Maintain maintenance records and assist with scheduling larger projects
- Manage office and building supply inventory
Facility Rentals & Scheduling
- Manage facility rentals, invoicing, scheduling, and communications
- Maintain the master church calendar
- Coordinate building access and track renter requests to completion
Communications & Worship Support
- Support updates to the church website and weekly communications
- Prepare worship slides, announcements, and Sunday service materials
- Assist with church-wide communications and special event materials
Membership, Governance & Finance Support
- Support membership systems, directories, and visitor name tags
- Assist with annual reporting and denominational membership reporting
- Provide administrative support to finance leaders
- Other duties as assigned by the Minister
Required Skills & Qualifications
- Excellent written, verbal, interpersonal, and organizational skills
- Ability to work independently with sound judgment and discretion
- Strong attention to detail and follow-through
- Proficiency with Google Workspace and office technology
- Experience in nonprofit or church administration preferred
- Familiarity with REALM Church Management Software strongly preferred
Compensation & Benefits
Salary: $38,000 – $44,600 annually (based on experience)
